Position Summary

The Admin Associate will be responsible for managing IT assets, ensuring proper allocation, tracking, and retrieval. This role involves effective coordination with both onboarding and offboarding employees to facilitate asset distribution and return.

Job Details:

  • Onsite (Eastwood or Bridgetowne, Quezon City)
  • Shifting Schedule – Possible schedules are as follows:
    • Morning shift: 7am-4pm
    • Mid Shift: 11am-8pm
    • GY Shift: 6pm-3am | 8pm-5am | 9pm-6am
  • *Following PH Holidays

Responsibilities:

  • Oversee and track IT asset returns from offboarding employees, particularly those returning equipment via logistics.
  • Coordinate with the Admin Department for gate pass requests.
  • Arrange and schedule the delivery and pickup of IT equipment.
  • Communicate with new employees regarding equipment deliveries and ensure they sign the accountability form and acknowledgment letter.
  • Coordinate with offboarding employees to schedule the return of their assigned company equipment.
  • Track shipments for new hires or replacements and provide timely updates on delivery and return statuses.
  • Monitor the condition of IT assets and coordinate with the IT support team for necessary repairs, replacements, or upgrades.
  • Manage multiple trackers using SharePoint/Microsoft Lists.

    Qualifications:

    • Experience in administrative roles or IT asset management.
    • Ability to multitask effectively and work independently in a fast-paced environment.
    • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and asset management tools.
    • Strong communication and coordination skills to work with multiple departments.
    • Basic understanding of IT equipment, peripherals, and inventory management best practices.
    • Problem-solving skills and the ability to handle unexpected issues related to asset tracking and logistics.
    • Experience working with logistics providers and handling shipping arrangements via Transportify, Lalamove, Grab etc.
