The Talent Acquisition Onboarding Assistant plays a crucial role in supporting the recruitment and onboarding processes by collaborating with internal recruiters, onboarding coordinators, and other talent acquisition professionals to meet the organization’s hiring needs. This role focuses on quality control, coordination, and administrative support for the hiring process.

Responsibilities:

  • Quality Control (40%):
    • Perform detailed reviews of new hire documentation, ensuring the accuracy of candidate details, offer letters, and onboarding support materials.
    • Verify the accuracy of information before exporting candidates from iCIMS, the Applicant Tracking System (ATS) and into UKG, the Human Resource Information System (HRIS).
    • Review job offers, job descriptions, and related documents for spelling, grammar, formatting, and consistency.
    • Collaborate with internal teams to correct any discrepancies and ensure high-quality standards.
    • Track and report on quality control issues to identify opportunities for process improvement.
  • Onboarding Coordination Support (50%):
    • Assist in coordinating background checks and drug screening through third-party vendors, providing timely updates to internal stakeholders.
    • Support the onboarding coordination team by maintaining communication with candidates and stakeholders regarding onboarding status and the provisioning of necessary assets.
    • Provide administrative support to ensure the smooth processing and maintenance of recruitment and onboarding documentation.
  • Additional Responsibilities (10%):
    • Participate in special projects or other tasks as assigned by the team or management.
    • Provide overall administrative support to the recruitment team, ensuring the efficient processing of documentation and maintaining accurate records.

Qualifications:

  • Bilingual in English and Spanish, with excellent written and verbal communication skills in both languages.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, etc.).
  • Strong organizational skills, with the ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • High attention to detail, particularly in proofreading and ensuring accuracy in documentation (spelling, grammar, and formatting).
  • Ability to work independently with minimal supervision and take initiative when needed.
  • Strong customer service orientation, with excellent interpersonal skills and the ability to collaborate effectively with a diverse team.
