Position Summary:

We are looking for a Data Management Specialist to manage and organize data from various sources, ensuring all information is accurately captured in a master spreadsheet. This position involves gathering data from different databases, managing purchase orders, tracking invoices, and providing periodic updates on budget status, primarily relating to outside law firms providing support to the company. The role requires a resourceful individual who can creatively find and consolidate information while maintaining accurate records.

Job Details:

  • Work Arrangement: Work-from-home
  • Schedule : Monday to Friday | 5:00 AM to 2:00 PM - Manila Time
    • After the a short training period or once familiar with daily tasks, the schedule may will shift to
      Monday to Friday | 8:00 AM to 5:00 PM - Manila Time.
  • Holidays: Follows Philippine Holidays

Responsibilities:

  • Collect and consolidate data from multiple internal systems into a single master spreadsheet.
  • Update the spreadsheet regularly with information related to purchase orders, invoices, and payments to law firms and potentially other vendors for various projects and transactions.
  • Track the budget status for legal matters, ensuring that expenditures are within approved limits.
  • Coordinate with internal teams such as accounting and external vendors (e.g., law firms) to chase missing or pending information when necessary.
  • Perform basic data entry and maintain up-to-date records.
  • Ensure data accuracy and resolve discrepancies.
  • Create and update dashboards to provide a clear summary of legal matter expenditures and remaining budgets.
  • Down the road: engage with vendors and internal teams to ensure timely submission and payment of invoices

Qualifications:

  • At least 2 years of experience in data management, data entry, or spreadsheet maintenance.
  • Strong proficiency in Microsoft Excel (Basic to mid-level experience)
  • Experience managing data in spreadsheets and ensuring data integrity.
  • Strong attention to detail and ability to work independently.
  • Basic research skills with the ability to track and find necessary information across different systems.
  • Comfortable working with minimal supervision, while also being a team player.
  • Excellent communication skills and the ability to collaborate with remote teams when needed.
