Position Summary:
We are seeking a highly organized and detail-oriented Mobilization Coordinator to support our recruitment team in driving efficiency for all temporary placements within the mining industry. This role is pivotal in ensuring the successful mobilization of candidates for shutdowns and project-based work, with a focus on safety, compliance, and seamless coordination.

- Monday to Friday | 8 AM to 5 PM Time
Responsibilities:
Mobilization & Site Compliance:
- Manage the end-to-end onboarding process for Mining Trade & Non-Trade candidates, tailored to client and site-specific requirements.
- Ensure 100% compliance across all candidate mobilization packs, adhering to client-specific onboarding processes.
- Organize and maintain accurate records of tickets, qualifications, and naming conventions.
- Coordinate pre-employment medicals, drug & alcohol (D&A) tests, and site-specific training courses.
- Address communication gaps in mobilization packs and maintain consistent contact with candidates.
- Meet strict deadlines to ensure timely candidate approvals and successful site mobilization.
- Liaise with client mobilization teams and hiring managers to ensure smooth processes.
- Conduct candidate screening, talent pooling, availability checks, and reference checks as needed.
General Administration:
- Understand and follow the company’s standard temporary paperwork and onboarding processes.
- Efficiently navigate Bullhorn and other recruitment software platforms for data entry and compliance document uploads.
- Manage incoming mail and distribute to appropriate stakeholders.
- Support Health, Safety, Environment & Quality (HSEQ) functions by tracking ticket and qualification expiry dates.
- Take initiative on project work and other administrative tasks as directed by the management team.
- Adhere to company policies and procedures while maintaining a process-oriented approach.
- Engage in frequent verbal communication with Australian candidates, ensuring compliance documents, tickets, and licenses are up to date.
Qualifications:
- Previous experience in mobilization or onboarding is required (mining or blue-collar experience is not mandatory).
- Strong verbal English communication skills — must be confident in speaking with Australian candidates.
- Excellent organizational skills with high attention to detail and process adherence.
- Proficiency in data entry and experience with platforms such as Bullhorn is desirable.
- Ability to work under pressure and meet tight deadlines.
- Understanding of compliance requirements, including qualifications, tickets, inductions, and pre-employment medicals, is advantageous.
